Terms & Conditions

1. Reservation
To reserve please contact us by fax phone or e-mail. A deposit of 30% or $300 dollars (whichever is the lesser amount) is required to confirm the reservation. The balance of the tour price is due for payment 45 days before the departure date. In the case of late registration, the total amount will be due immediately. Boreal Tours cannot guarantee service, if it has not been paid in full before departure.

2. Rates
The rates are described in Canadian dollars.

3. Validity
All rates and conditions are subject to change without notice due to currency fluctuations and /or unforeseen economic circumstances.
Should tax and fee increases be imposed by federal, provincial or municipal governments, an adjustment to the rates will occur.

4. Payments
Payments should be made by certified check, postal or money order or bank transfer to the order of Boreal Tours in trust.

5. Cancellations
In case of a cancellation called by Boreal Tours the full amount paid for the land portion will be reimbursed without any penalties.
Boreal Tours shall not be held responsible for any other costs incurred in connection with the travel preparation (flight ticket, visa fees, insurance, clothing, equipment, medical expenses or others).
For any cancellation called by a client, cancellation fees will be applied as follows:

      5.1. Cancellation more than 45 days before departure: amount of the deposit
      5.2. Cancellation 45 to 22 days before departure: 50 % of the total amount
      5.3. Cancellation 21 days or less before departure: no refund
      5.4. Any cancellation by a client must be made in writing.
      The date on which Boreal Tours receives the letter will determine the cancellation charge applicable.

Note:
If cancellation by one or more passengers alters the rooming requirements of remaining passengers, those passengers still travelling must pay the applicable rate for accommodation to be occupied.

6. Changes to a tour or package
Customers can request changes to their booking arrangements by adding extra activities or planning a longer stay as long as no cancellation is involved. Boreal Tours reserves the right to charge an administration fee of $40.00 (Canadian taxes included) per person per modification.
Please note that Boreal Tours can not guarantee any modifications if they are not made at least 45 days before the date of departure.
A change of tour date or tour itinerary within 45 days of departure will be treated as a cancellation and new booking.
The cancellation fee as specified in 5.2 will be applied and an administration fee of $40.00 will be levied.

7. Unused services
No refunds will be made if a participant leaves a tour, for any reason whatsoever, whether voluntarily or involuntarily, after a tour has started.
No refunds will be made for any accommodations, transportation, sightseeing, meals or services not used.

8. Insurance
We strongly recommend taking out cancellation insurance at the time of the booking, as this will cover cancellation fees in certain circumstances. It is recommended to take out travel insurance that would cover the following: personal accident, medical expenses, air ambulance, loss of personal effects, repatriation costs and all other expenses which might arise as a result of loss, damage, injury, delay or inconvenience during the travel of the client. It is the client’s responsibility to ensure sufficient personal travel insurance.

9. Accommodation and itinerary
Reasonable changes in the itinerary may be made where deemed advisable for the comfort and the wellbeing of the participants.
While Boreal Tours will endeavour to operate all its tours as advertised, it reserves the right to substitute hotels or other accommodations, alter the itinerary, and reverse the order of places to be visited where deemed reasonable, necessary or advisable.

10. Responsibilities of participants
Participants have certain responsibilities to Boreal Tours and the other participants. The participants are responsible for understanding the conditions implied in the program and selecting a program that is appropriate to their interests and abilities. At the tour leader's discretion, a participant may be asked to leave the tour, if the tour leader feels that the person’s further participation may be detrimental to the tour or the other participants. Refunds are not given in such circumstances.
For certain tours, the participants may be asked to fill medical information and to sign a waiver.

11. Limitations of liability

Boreal Tours acts as an agent for transport companies, hotels, sightseeing organisations and other contractors and shall not be held liable for any injury, damage, loss, delay or irregularity that may occur, including, but not limited to, natural catastrophes, detention delays or expenses arising from quarantine, strike, theft, force major, civil disturbance, detention, assault, government restrictions or regulations, illness from food or otherwise, accident by aircraft, boat, bicycle, motor vehicle or any other form of transportation, failure of any means of conveyance to arrive or depart as scheduled.
Note: Many guides and leaders for Boreal Tours are independent contractors or are employees of the operators with whom we contract.

12. Acknowledgement
The participant hereby acknowledges having read the provisions within, relating to the responsibility of Boreal Tours.
